Learnly Academy Privacy Policy

1. Operator Information

Learnly Academy is an educational platform designed for students. To protect the safety and privacy of our community and operators, inquiries are handled digitally:

  • Physical Address: To protect the privacy of our student-led team, we do not publish a physical address. All parental requests and legal inquiries are handled via our verified support email.

2. Information We Collect

We collect only the minimum amount of information necessary to provide a functional and motivating educational experience. The data we collect differs based on a user’s age.

For users under 13:

  • Age
  • Username
  • Parent or guardian email address (used to obtain verifiable parental consent under COPPA)
  • Password

For users 13 and older:

  • Age
  • Personal email address
  • Username
  • Password

Additionally, for all users:

  • Nickname/Display Name: Users are encouraged to provide a “Nickname” for public display. If left blank, the site defaults to the username. We actively discourage the use of full legal names.
  • Learning & Gamification: We track lesson progress, quiz scores, and gamification stats (XP, Ranks, and Achievements) to provide feedback and rewards.
  • Media: Users can choose from non-identifiable and fun avatars as their profile picture.

3. Public Disclosure and Student Safety

  • Leaderboard Privacy: Our custom leaderboard displays only the student’s Nickname, XP, and Rank. Real names and email addresses are never shown publicly.
  • Incognito Mode: Through our Safety & Privacy Center, students or parents can choose to hide the account from the leaderboard entirely.
  • Profile Privacy: Personal information such as email addresses and real names are never made public to other users.
  • Third-Party Processing: We use WordPress, Tutor LMS, and GamiPress to power our site. These tools process data only to facilitate site functionality. We do not sell, rent, or trade user data to third parties for marketing or advertising.

4. Children’s Privacy (COPPA Compliance)

In compliance with the Children’s Online Privacy Protection Act (COPPA), we maintain the following strict protections for users under the age of 13:

Account Creation and Age Verification Children under 13 may create an account through our age-based registration flow. During sign-up, the child will provide their age, username, a parent or guardian’s email address, and a password. The account will remain in a “Pending” and inactive state until verifiable parental consent is obtained.

Parental Consent Process Upon registration, we send an automated consent email to the parent or guardian email address provided by the child. To grant consent, the parent or guardian must:

  • Open the consent email sent to their address.
  • Click the consent button provided in the email.
  • Check the confirmation checkbox to verify they are the parent or legal guardian and consent to their child’s account creation.

Once consent is confirmed, the child’s account will be reviewed and approved within 48 hours.

Data Limitation We do not condition a child’s participation on the disclosure of more information than is reasonably necessary to use the platform.

Automatic Data Deletion If a parent or guardian does not provide consent within 7 days of the child’s registration attempt, all data associated with that registration — including the child’s age, username, and the parent’s email address — will be permanently and automatically deleted from our systems.


5. Cookies and Technical Data

We use essential cookies to maintain your login session and remember your site preferences (such as “Dark Mode” on the leaderboard). We do not use tracking cookies for behavioral advertising or third-party profiling.


6. Parental Rights and Controls

Parents or legal guardians hold the following rights:

  • Review: You may request to see all personal information collected from your child.
  • Revoke Consent: You may revoke consent at any time, which will stop further data collection.
  • Deletion (Right to be Forgotten): You may request that we permanently delete your child’s account and all associated progress and data.
  • Display Name/Photo Control: You may request that we modify or remove a child’s display name or profile picture at any time.

7. Data Retention and Security

We retain user data only as long as the account remains active. Accounts inactive for more than 12 months may be deleted to protect user privacy. While we utilize SSL encryption and professional security protocols to protect your data, no internet-based service is 100% secure; we encourage students and parents to practice safe internet habits.
